How do you compare two automation quotes?

Agencies package the same work in different shapes: one big setup fee, a small setup and a bigger monthly, or a one-time price with nothing after. These five checks put two quotes on the same footing.

1. Work out the first-year total

Add the setup fee to twelve months of the monthly fee. Using published list prices, before HST and before any discount:

  • Runway Growth: $399 + (12 × $249) = $3,387, plus HST, for up to 3 automations.
  • EngageFit AI Professional: $2,950 + (12 × $300) = $6,550 CAD, for up to 5 integrations, before the 15% prepay discount.
  • Kaizan Labs Quick Win Pilot: $3,500 CAD once, for one automation, with no monthly fee unless you add Monthly Optimization.

Those three buy different things, so the cheapest total isn't automatically the best deal. The point is to see the real number before you weigh what's in it.

2. Count automations, not plan names

"Growth" means up to 3 automations at Runway and 2 to 3 at BlueprintBeam. Ask each agency to list, by name, the automations your quote covers.

3. Find out who pays the software bills

Automations run on paid tools: n8n, Make.com or Zapier, an AI model, sometimes Twilio for texts. Some plans fold usage in, as Orbys does within fair-use limits. Others bill it to you directly. Ask for an estimate at your volume.

4. Read the support line closely

Published response times range from 4 business hours (Orbys) to 24 hours by email on Runway Growth and 48 hours on Runway Starter. If the automation books your jobs, a two-day wait on a fix is a long time.

5. Check how you leave

Kaizan Labs lets you cancel monthly optimization any month, EngageFit AI asks for 30 days notice, and BlueprintBeam says you keep the system when you cancel. Get it in writing that the accounts and workflows stay yours.

What does a fair single-automation scope look like?

Published single-automation prices in the GTA run from $799 to $3,500 CAD. Whatever you pay, the scope should spell out these eight things.

  • One trigger and one result, in a sentence: for example, "When a call is missed, text the caller a booking link within a minute and log it in the CRM."
  • The apps it touches, by name: usually two or three, such as your phone system, Google Calendar and HubSpot.
  • What it won't do: written down, so nobody argues about it later.
  • A test on your own data: and your sign-off before it goes live.
  • A failure alert: to a named person, by text or email.
  • Documentation and logins in your name: so you can hand it to someone else.
  • A support window after launch: we include 2 weeks.
  • A fixed price, with running costs listed separately: software subscriptions, AI usage and texts.

If a quote for one job sits well above that published range, it's probably covering more than one job, extra connections or ongoing work. That can be fine. Ask for the line items so you know.

How do our prices compare?

We sell automation too. Our prices are below so you can compare.

One automation costs from $499, which is below Runway's from-$799 build and a seventh of Kaizan Labs' $3,500 CAD pilot. An AI agent build, such as a phone receptionist, is from $995. Monthly support is optional, from $99/month, and covers 150 AI voice minutes a month plus normal text-model use, with any overage billed at cost.

Each job gets a fixed price after a free 30-minute local audit and a free working prototype in 5 business days, then a test run you approve, documentation, and 2 weeks of support after launch. If a $99-a-month plan from one of the agencies above suits a simple job better, we'll tell you. Our full pricing page has the details, or book the free audit.

How we collected this

  • Sources: only each agency's own pricing or services page, linked in the tables. Every page was opened on October 6, 2026.
  • Currency: no conversions. Runway states "All prices in CAD, plus HST". Where a page shows $ with no label, as Webom AI's does, we say the currency isn't stated.
  • Location: taken from each agency's own site. Nextimate says it's Canadian but names no city, so we've marked it that way. The Automators says it's based in Calgary, so it isn't in these GTA tables.
  • TML Agency: left out. Its Mississauga AI automation page returned "not found", and its home page lists no prices.
  • Majestic AI Services: left out. The site wouldn't load for us.
  • DeployLabs (Toronto): left out of these tables. It publishes a $2,500 assessment but no automation or monthly price.

GTA automation pricing questions

How much does a single AI automation cost in the GTA?

On October 6, 2026, GTA agencies that publish prices listed single automations from $799 plus HST (Runway's custom automation build) to $3,500 CAD (Kaizan Labs' Quick Win Pilot, live in 14 days). Orbys advertises a first automation free, and broader builds start at $3,500 CAD at Aurora Designs and $7,500 CAD at Flowgrammer.

What do GTA agencies charge monthly for AI automation?

Published monthly plans started at $99 a month plus HST with a $199 setup (Runway Starter, 1 automation) and $180 CAD a month after a $1,250 CAD setup (EngageFit AI Essentials). Done-for-you programs ran $650 to $1,900 CAD a month at Orbys and $1,500 to $8,500 CAD a month at BlueprintBeam.

Is a monthly automation plan better than a one-time build?

A monthly plan suits you if you want new automations added over time and someone watching them. A one-time build suits a single, stable job. Compare them on a first-year total: setup plus twelve months, against the one-time price plus any support you would add.

Do GTA automation prices include HST?

Not always. Runway says its prices are in CAD plus HST, and Orbys lists its monthly plans plus HST at 13%. If a quote doesn't say, ask before you compare it with another one.

What should one automation include for the price?

One written trigger and result, the named apps it connects, a list of what it won't do, a test on your real data, a failure alert, documentation, accounts in your name and a support window after launch. Running costs such as software subscriptions and AI usage should be estimated separately.
